Coordination of FIB - Feira Internacional de Benguela 2021
from concept to execution
The four main stages included event preparation and announcement, overseeing the inauguration with governmental visits, providing customer care throughout the four-day event, and orchestrating the awards ceremony and subsequent reporting.
The Concept
& production phase
my responsibilities included creating the project to be presented for companies and sponsors, preparation of documents, namely the fair program, overseeing graphic design processes, soliciting quotes, handling incoming calls, and managing email communications, meetings, social media planning and execution and finally, the production - printing material designs, supervise the setup and disassembly of the event, hire and organize the protocol, cleaning staff, firefighters and other necessary services, and finally handling the accreditation for all staff involved.
For FIB's 10º anniversary, one of the challenges was the concept art, which after some discarded ideas, we decided to use all the flowers (logos) used in previous editions. After the concept art, there were made derivations for e-mail marketing, TV format, the catalog, tickets, signage, the inauguration, merchandising and nevertheless social media.
The Inauguration
& other programmed activities
For the inauguration we had a standard set up and program with the official speeches, the ribbon cutting and the official guided tour of the entities, in this case, the Governor of the Province of Benguela was present, accompanied by the PCA of Eventos Arena, other members of the government, administrators, directors and ecclesiastical entities invited to the event.
Some of the activities planned for FIB2021 were the launch of a book, a photographic exhibition, lectures and business grants, workshops (as represented in the photographs above), vaccinations and a meeting of the Benguela cattle breeders' cooperative.
Awards Ceremony
& fair closing
The awards ceremony, as well as the inauguration, already has a defined pattern that involves discussion among the judges to decide the winning stands and brands, filling out the diploma, sending invitations to the nominees as well as guests to attend the ceremony, creating the press release to share with the media, post-event, official speeches, delivery of prizes and photos and finally the closing of the fair.
Reports
& end of cycle
This final step is normally done at the end of each day, or in the following week of the event and serves not only as proof of everything that happened, but also as a basis for analysis to understand aspects that need to be improved and record those that have been successfully. At this stage, the event's final press releases are distributed to all communication channels and both documents are shared in an internal meeting.
And so another cycle of a corporate fair ends.
